Security Industry : Record Layer

Your access to the Comply X Vault has been confirmed.

This onboarding installs the Record layer for Security in South Africa.

What has been activated

You now have active access to the Security Record system.

This system defines:

• which operational and compliance records must exist

• how they must be organised

• how they must be presented when requested

In security, records protect both authority and liability.

Comply X does not store your documents.

You will store all records on your own computer, Google Drive, OneDrive, or internal server.

The Vault provides the structure.

You keep control.

Important rule

Step 1 : Create your Vault folder

On your computer or cloud storage, create a main folder named exactly:

ComplyX_Security_Vault

This folder becomes your central record system.

Step 2 : Set up the Record structure

Inside your Vault folder, create the following sub-folder:

01_Records

All operational, staff, and site records must live inside this folder.

Step 3 : Download your Security record pack

Download the Security Record pack using the button below.

This installation pack includes:

• security record templates

• mandatory registers

• the Vault Index

• filing and naming rules

• operational structure guidance

This is the foundation of your Security Record layer.

One-time infrastructure installation.

Your Vault remains yours permanently.

Vault Maintenance access can be activated later for ongoing updates and operational improvements.

Step 4 : Install the records

Extract the downloaded files.

Move all documents into:

ComplyX_Security_Vault / 01_Records

Do not rename folders unless instructed.

Order is part of operational protection.

The Vault Index

The Vault Index shows which required records exist and which are missing.

In security operations, missing records create serious liability.

Why records matter in Security services

Security businesses operate in high-risk environments.

When incidents, disputes, inspections, or regulatory reviews happen, records are requested immediately.

If an event cannot be documented, it cannot be defended.

Keeping the Record layer active

Active Vault access helps your Record layer stay aligned with updated operational requirements and structured record management standards.

This includes:

• updated record templates

• improved registers

• updated folder structures

• operational improvements

• ongoing Vault refinements

Your Vault remains yours.

Comply X maintains the structure behind it.

If access stops, your existing records remain yours, but future updates and operational improvements stop.

Twelve months of uninterrupted Record layer maintenance and operational alignment.

Next steps

Once your Record layer is complete, you may later add:

• Control : to manage inspections, maintenance, and issues

• Audit : to produce proof during disputes or reviews

All layers build on the same Vault.

Remember

In security, if it is not recorded properly, it becomes liability.

This system exists so that every deployment, incident, and instruction has a traceable record.
