You are now entering the Vault
Businesses & Tenders : Record Layer
Your access to the Comply X Vault has been confirmed.
This onboarding installs the Record layer for businesses operating in South Africa and participating in tenders, supplier registrations, and institutional applications.
What has been activated
You now have active access to the Businesses & Tenders Record system.
This system defines:
• which business records must exist
• how they must be organised
• how they must be presented when requested
Comply X does not store your business documents.
You will store all records on your own computer, Google Drive, OneDrive, or company storage system.
The Vault provides the structure.
You retain control.
Important rule
Step 1 : Create your Vault folder
On your computer or cloud storage, create a main folder named exactly:
ComplyX_Business_Vault
This folder becomes your central record system.
Step 2 : Set up the Record structure
Inside your Vault folder, create the following sub-folder:
01_Records
All core business and tender records must live inside this folder.
Step 3 : Download your Business record pack
Download the Business Record installation pack using the button below.
This installation pack contains:
• record templates
• operational registers
• the Vault Index
• filing structures
• naming rules
• setup guidance
This is the foundational infrastructure for your Business Record layer.
One-time infrastructure installation.
Your Vault remains yours permanently.
Step 4 : Install the records
Extract the downloaded files.
Move all documents into:
ComplyX_Business_Vault / 01_Records
Do not rename folders unless instructed.
Order is part of operational protection.
The Vault Index
The Vault Index shows which required documents exist and which are missing.
In tenders and supplier onboarding, incomplete records lead to automatic rejection.
Why records matter in business and tenders
Businesses are evaluated on documentation before performance.
When submitting tenders, supplier applications, or funding proposals, documents are reviewed before capability.
If documents are incomplete, opportunities are lost.
Keeping the Record layer active
Active Vault access helps your Record layer stay aligned with updated operational requirements and structured record management standards.
This includes:
• updated record templates
• improved registers
• updated folder structures
• operational improvements
• ongoing Vault refinements
Your Vault remains yours.
Comply X maintains the structure behind it.
If access stops, your existing records remain yours, but future updates and operational improvements stop.
Month-to-month active access for ongoing Record layer updates and improvements.
Monthly Vault Maintenance
Annual Vault Maintenance
Twelve months of uninterrupted Record layer maintenance and operational alignment.
Next steps
Once your Record layer is complete, you may later add:
• Control : to manage inspections, maintenance, and issues
• Audit : to produce proof during disputes or reviews
All layers build on the same Vault.
Remember
In business, credibility begins with documentation.
This system exists so that when opportunity comes, you are already prepared.
Comply X

Documents remain on client storage.
Access maintains alignment.
